How do I set up the Lotus Notes Extractor?

Answer:

Lotus Notes is the only messaging system supported by MigrationWiz that requires installation of local client software to perform a migration. The Lotus Extractor is a small console application (available here) responsible for extracting data from the Domino server and securely streaming this data to MigrationWiz's cloud migration platform. 

Regarding connectivity of the Lotus Extractors, there is no need for additional connectivity, like external IP addresses. Since the communication is initiated by the Extractor, no external IP address is necessary. 

The requirements for each machine where the Lotus Extractor will be deployed are as follows:

  1. Windows OS.
  2. .NET Framework version 4.6.1 or later​.
  3. Lotus Notes 8.5 or later client is installed and configured to connect to the Domino server using the migration administrator ID file.
  4. The latest Fix Packs for Lotus Notes client are applied.
  5. Sufficient RAM (depends on the number of concurrent migrations).
  6. Free disk space for saving Lotus Extractor logs. The size of the required free space may be estimated using the following formula: 100 MB + 50 MB * (number of mailboxes to be migrated). For very large mailboxes (10 GB or larger), the log file size per mailbox may reach 100 MB.

An ideal configuration would be 8+ GB of RAM with Windows Server 2008 or later.

It is recommended that customers do not work with their mail files during the migration. It is also recommended that custom Domino agents, if any, working with mail files are stopped during the migration to avoid document locking.

Lotus Extractor will communicate with two servers:

  1. The www.migrationwiz.com website (to retrieve connectors and submitted mailboxes).
  2. One or more migration servers in the cloud (to receive migration commands and push Lotus Notes data).

This method is best suited to large-scale migrations intended for large businesses and distributed environments.

Install one Lotus Extractor per machine (or virtual machine). Typically we can migrate 10-30 mailboxes per Extractor. ​Each running Lotus Extractor requires a separate connector in MigrationWiz and a separate machine (or virtual machine).​

Note: The <TYPE> Extractor requires that you have the .NET Framework version 4.6.1 or later installed on the computer on which you install and run the extractor.​ To determine the .NET Framework version currently installed, follow instructions provided by Microsoft: How to: Determine Which .NET Framework Versions Are Installed​​.

In order to set up the Lotus Extractor(s), follow these steps on each machine that will run a Lotus Extractor:

  1. Download the Lotus Extractor Setup and install it.
  2. If using Lotus Notes 6 or 7, download the latest evaluation version of the Lotus Notes client (free). It is not possible to start a migration using Lotus Notes client 6 or 7, due to several bugs discovered in these versions.
  3. Install the Lotus Notes client (each Lotus Extractor needs to be launched on a machine on which the Lotus Notes client is installed).
  4. Start the the Lotus Notes client, and open a session with the Lotus administrative account created previously. To do so, retr​ieve the ID file for that specific user and copy it to the machine.
  5. Ensure the proxy settings are correct by opening Internet Explorer and navigating to Tools -> Internet Options -> Connections and disabling the Automatically Detect Settings option.  If unable to connect to the internet with this option disabled, contact the network administrator to allow the Lotus Extractor.
  6. Close the Lotus Notes client (this will release the lock taken by the Lotus Notes client on the notes.ini file).
  7. Start the Lotus Extractor.
  8. Each Lotus Extractor displays a unique identifier called Lotus Extractor Identifier (see example on the screenshot below, line 2). Copy this identifier, as you will be asked for it later during the migration configuration.
  9. Enter the MigrationWiz username and password.
  10. Enter the password of the Lotus administrative account created in the previous step.

Important information about the Lotus Extractor:

  • Each Lotus Extractor can simultaneously migrate up to 30 mailboxes.
  • Deploy each Lotus Extractor within the Local Area Network where its target Lotus Domino server is located.
  • Do not deploy a Lotus Extractor on a machine on which the Lotus Domino server is deployed.
  • Do not deploy more than one Lotus Extractor on the same machine.
  • Do not stop a running Lotus Extractor (leave the console window open - the migration will start automatically after the last step of the configuration).
  • After authenticating, the Lotus Extractor will generate a CSV file named "LotusExtractor.csv" to help you performing a bulk import if necessary.
