It is important to understand how team folders and shared folders are handled by Dropbox before addressing how shared folders are migrated when Dropbox is configured as the Destination for a Document Migration.

  • Team folders: These are used in Dropbox Business plans to share files with all users at a company. Team folders are managed by administrators using the Team Folder Manager in the Dropbox Admin Console. Team folders are not migrated when Dropbox is configured as the Destination.   • Shared folders: When a user shares a folder in Dropbox, all subfolders and files inherit the permission from their parent folder and are then blocked from being shared. Even folders higher in the hierarchy (up to the user's root directory) are blocked from being shared when one of the subfolders has already been shared. This shared folder behavior is important to understand when Dropbox is configured as the Destination in a Document Migration because it affects how permissions are migrated when the Source storage service does allow explicit permissions on folders, subfolders, and files.

 

How are shared folders migrated?

Because of the way shared folders are handled by Dropbox, only the top folder permissions are recreated from the Source when Dropbox is configured as the Destination.

Important: We recommend that you wait for all users to accept their Dropbox invitations before you start the migration. Shared folder permissions are not recreated in Dropbox as part of the migration for users who have not accepted their invitations. Example: We'll use Box as the Source in the following example, which allows explicit permissions on folders and subfolders and files.

  • John creates the Reports folder at Box, and then creates subfolders for each of the following departments: Sales, Finance, and Human Resources.
  • John shares the folders in the following manner:
    • Dave in the Operations Team is added as an "editor" collaborator for the Reports (parent) folder.
      • Donna in the Finance Team is added as an "editor" collaborator for the Finance (child) folder.
      • Jane in the Human Resources Team is added as an "editor" collaborator for the Human Resources (child) folder.
      • Michael in the Sales Team is added as an "editor" collaborator for the Sales (child) folder.
  • The Reports folder and its contents are migrated under John's account when the files are migrated from Box to Dropbox.
  • Dave's permission on the Reports folder is recreated at Dropbox, because it is the top-level shared folder.
  • Michael's, Jane's, and Donna's permissions are not recreated.
